This privacy policy describes how Ortraco B.V. (operating the SurviMed brand, "we", "our") collects and uses the personal data you provide through this website, in accordance with the EU General Data Protection Regulation (GDPR) and Dutch privacy law.

What we collect

Contact data you submit — name, work email, company, phone (optional) and the content of any message you send via the contact form, by email, or via Calendly when you book a meeting.
Technical data — anonymous traffic information (page views, referrers, broad geography) collected by our hosting provider Netlify for security and aggregate analytics. We do not place behavioural advertising cookies.

Why we use it

To respond to your enquiry, send a quotation, or schedule a meeting (legitimate interest in conducting business correspondence you initiated).
To carry out a commercial relationship if we begin one — invoicing, order processing, after-sales support (contractual necessity).
To meet our legal obligations — tax records, controlled-drugs compliance, etc. (legal obligation).

Where it lives

Form submissions are processed by Netlify (our hosting provider, processor) and forwarded to our internal email systems. Calendly bookings are processed by Calendly. Both have appropriate cross-border data-transfer safeguards in place. We do not sell or share your data with third parties for their own marketing.

How long we keep it

Quote enquiries that don't lead to a relationship: 24 months.
Records relating to active commercial relationships: 7 years (Dutch fiscal retention requirement).

Your rights

You have the right to:

Access the personal data we hold about you.
Have it corrected if inaccurate, or erased if it is no longer needed.
Restrict or object to certain processing.
Receive your data in a portable format.
Lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) at autoriteitpersoonsgegevens.nl.
